All personal AUAS mailboxes will soon be hosted in the Microsoft 365 cloud. This page contains additional information on what you can expect during the migration of your mailbox.

What is going to happen?

From November to January, all personal mailboxes will be moved from our own e-mail environment to the Microsoft 365 cloud. Before we transfer your mailbox, we will send you an e-mail with information about when this is scheduled to occur.

If you have a managed workstation and you use the Outlook version that was already installed on it (i.e. the Microsoft 365 ProPlus version), you do not have to change anything. If you are responsible for managing your own computer, you can install Microsoft 365 ProPlus here.


Why is AUAS moving e-mail to the cloud?

The AUAS has chosen Microsoft 365 as its general collaboration environment, and e-mail is part of this. Sharing files from OneDrive and Teams is easy and secure via e-mail.

What are the benefits of e-mail in the cloud?

  • At 100GB, your mailbox capacity will increase 25 fold. This means that you can store all your personal e-mails in one place. This also makes it easier to retrieve older e-mails.
  • Outlook Tasks is integrated with ToDo, an easy to use Microsoft mobile app for task management. You can find information on how to use ToDo here.
  • Better integration with Teams and OneDrive.

Frequently asked questions, tips and manuals

Log in to your mailbox at https://outlook.office.com. Can you see the content here? Then your mail is stored in the cloud.

For a group mailbox click on the round icon with your name. Then choose the bottom option Open another mailbox, enter the e-mail address of the group mailbox and click OK.

Due to the e-mail migration, the mobile app can no longer find your mailbox. The only thing that works is to delete your account and add it again.


Outlook App:

  • Open the Outlook app
  • Click on the Home icon at the top left
  • Click on the gear icon at the bottom left to open the settings
  • Select the AUAS e-mail account
  • Scroll down and select Delete Account

IOS mail:

  • Go to Settings
  • Go to Mail (this step only applies to IOS 14)
  • Go to Accounts
  • Select the AUAS e-mail account
  • Scroll down and select Delete Account

Android email:

  • Go to Settings
  • Go to Accounts
  • Select the AUAS e-mail account
  • Click on the three dots at the top right and select Delete Account

How to reset your e-mail

You have probably once made the choice to set up the AUAS address book on your phone. This will have to be reset.

Not all e-mail programs support two-factor authentication, and such programs therefore do not meet our security standards.

ICT Services advises and assists with the use of Outlook and Webmail. For other e-mail programs, the settings you need to configure are available here.

The entire contents of your mailbox (e-mail, contacts, tasks, appointments, etc.) will be copied directly to the new environment. All settings and permissions will also be transferred. The chances of anything going wrong in either of these processes are very slim. Should you find you are missing something, please report to the Service Desk as soon as possible by calling 020-595 1402 or send an e-mail to servicedesk-icts@hva.nl.

Outlook uses "system addresses" that are now no longer valid. It is best to remove the old e-mail addresses from Outlook. More information about this can be found on this Microsoft page.

Log out of Skype and delete the login details you previously used. Then log in once again and re-enter your e-mail address and password.

During the migration period, this information is sometimes unavailable, especially when planning agreements between HvA and UvA staff. Unfortunately, we cannot solve this problem properly. At the end of January 2021, when everyone has been transferred, we recommend you enter the e-mail address when scheduling the appointment. Outlook will then usually be able to find the information again.

It can also help to remove previously used mail addresses from Outlook. You can find more information about this here.

If you only use your personal mailbox with Outlook for Mac, you can do this safely. If you also read other mailboxes, we advise you to wait until the end of January 2021.

Unfortunately, security risks mean that not all apps are supported any more. They are often older apps that do not meet the security requirements that apply to the mail environment.

An old "connection" in the browser may get in the way after the migration. Emptying your browser's cache will solve this. More information on how to do this can be found at: clear-my-cache.com. Another option is to use https://outlook.office.com to access your e-mail.

The e-mail address of the recipient in your Outlook client has been "damaged" by the migration. Use these instructions to delete the e-mail address (under Delete one or more suggested recipients in the Auto-Complete List). Then send the e-mail again.

This is not a supported action. However, it does work in the Outlook application.
