Microsoft Teams

When studying with your fellow students, you want to be able to work together in a document, share your screen and make video calls. Microsoft Teams allows you to do all that.

Getting started

Before getting started with Microsoft Teams, make sure you’ve downloaded Office 365. downloaden. As a AUAS student you have free access to this. Once Office 365 has been downloaded, take the following steps to install Microsoft Teams:

  1. Visit Office.com and log in with your AUAS e-mail address.
  2. You should be able to see Teams in the list of applications. Click on this and Teams will open in your browser.
  3. Follow the steps presented by the installation wizard and allow notifications if you want to stay on top of things with your fellow students in Teams.
  4. Once the download has completed, follow the installation steps for your computer.

Microsoft Teams: the basics

Teams

On the left hand side of the screen you can find the Teams icon, under which existing Teams are listed. Certain Teams are closed and only accessible with a passcode, others are open. To join an open Team, click on ‘Join Team’.

The following steps will take you through how to create a team:

  • Go to the navigation column on the left.
  • Open the Teams icon named ‘Team request appExternal link’.
  • Now you should be able to request the creation of a Team and arrange it to fit your preferences. For instance, you might create a collaborative environment that is only accessible to those students that you want to work together with.

Chat

The following steps will take you through how to create a new chat:

  • Go to ‘Char’ on the left hand side of the screen.
  • Click ‘New Chat’
  • You should now get the option to search for people to add to the chat. Once you have found those you’re looking for, click on them and they’ll be added to the chat. The new chat will subsequently automatically be added to the chat overview on the left hand side of the screen.
  • If you want to add additional chats, click the ‘edit’ icon in the top right hand corner of the chat overview.

You can change the group name of a chat at any time, for example to the name of your project or class, by clicking on the pencil icon next to the names of the people in the group chat.

Video calls and screen sharing

At the top of the chat screen you can find various options:

  • By clicking on the video camera you can video call with the members of your chat group. When the telephone has been selected, this will with your camera deactivated.
  • The coloured icon next to group members’ names shows their online status.
  • Selecting the third icon will allow you to share your screen in-call.

Adding people

You can also add people at a later stage, after the chat has been set up:

  • Select the icon with two people and a ‘+’ sign next to it. Here you can select whether the person in question can see the chat history and to what extent.
  • You can find people in the same way as when creating the chat, by entering their name or e-mail address to search for them.
  • Finally, click ‘Add’ to add them to the chat.

Scheduling a meeting with your chat group

To schedule a meeting with the members of your chat group, click the calendar icon at the bottom of the chat window. Next, enter the details of the meetings, such as the description and location. ‘Channels’ will allow you to invite a specific group within a Team to the meeting.

Each member of the chat will then receive an invitation in their digital agenda as well as a reminder prior to the meeting.

Viewing and planning meetings through the Agenda

The agenda contains all your appointments in Microsoft Teams, including those planned through the chat. The Agenda is located on the left hand side of the Teams window. Here you can also plan new appointments. To do this, select the ‘New meeting’ button. Planning a new meeting functions identically this way works the same as through the chat window.

Taking part in a meeting

Select a meeting in the Agenda to view more details and click on ‘Join’ to join said meeting. You can also participate in the meeting by clicking the relevant link either at the bottom of the page or in the confirmation e-mail you received upon your invitation to the meeting.

Taking minutes

You can take minutes during the meeting by clicking on 'Notes' or 'Whiteboard'. The other participants of the meeting can also read these back.

Uploading files

  • At the bottom of your screen you can find the option to upload files to the chat from OneDrive or your computer.
  • An overview of the files can be found amongst the tabs at the top of the window, under ‘Files’. Here you can download or edit files.
  • Depending on the file type and the Office apps you have installed, you can either edit the files directly via Microsoft Teams or open the relevant app to do so.

Collaborating in files and creating shortcuts to programmes

During projects you sometimes have to work together in one main file or use a certain programme often. You can create a tab so that you can find them quickly:

  • Select the ‘+’ at the top of the window to add the desired programme or file.

These files and/or programmes can be found under the ‘Organisation’ tab, that can now be found amongst the other tabs.
